Tips for Instructors Using Zoom: Promoting Privacy and Security

Dear Faculty,

Given the recent concerns over Zoombombing, Academic Technology Services and the Center for Educational Effectiveness have created a page on the Keep Teaching website titled “FAQ on Zoom, Privacy, and Security at UC Davis.” UC Davis leadership continues to advise that Zoom is an appropriate tool to use for meetings and classes; we are grateful for the swift Zoom efforts to increase and improve security and privacy for users. However, as is true with all tools, we need to be mindful of how we use them.

The FAQ on Zoom provides these 10 recommendations for how to effectively use Zoom to protect privacy and security:
  1. "Use the most current version of Zoom;
  2. Do not post Zoom links or invites on social media, including public websites;
  3. Use a unique ID for each meeting;
  4. Utilize meeting passwords;
  5. Avoid recording; if you must record, password-protect the recording;
  6. Turn off embed password in meeting link (if applicable, this will force users to type in a password rather than have one click access);
  7. Enable Waiting Rooms and have the host allow users in one by one, or all at the same time, once all attendees have been verified;
  8. Lock meetings once all participants have joined (if applicable);
  9. Disable file transfer settings  (during Zoom meetings; not necessary in basic chat);
  10. Contact your local IT resource if you need help/support”
The Knowledge Base article “How do I keep my Zoom meeting private and secure?” provides how-tos for the above list.

Prevention is the most effective way to protect the security of our Zoom rooms and the privacy of our student participants. The FAQ page also offers guidelines on how to deal with Zoombombing if it were to occur.

Being mindful of how we use particular tools to facilitate communication and connection with our students goes a long way to promoting safe navigation of these new public spaces.

Best, Alex Rockey
